Transition from PDF Floor Plan to Interactive Exhibition Map

The exhibition floor plan PDF is valuable for sharing the official layout of the fair; however, when a stand assignment changes, an entrance is restricted, or a visitor searches for a specific company, the static file does not meet operational needs. Even if the team distributes the new version via email, old files continue to live on phones and web pages. The correct approach is not to eliminate the PDF, but to use the Interactive Map, which lives alongside the official Floor Plans, together for different tasks.

Why do PDFs become outdated?

A PDF is a snapshot of a specific moment in time, as soon as it's published. During fair preparation, stand numbers, exhibitor assignments, aisle layouts, or service points may change. Each change requires generating a new file, finding old links, and delivering the new version to stakeholders. Even if the file name is updated, the copy previously downloaded by the visitor remains unchanged.

A static plan also cannot understand user intent. A visitor wants to search for a company name or stand number, or see the path from a specific point to a destination. An exhibitor may want to check if their stand is correctly matched with the right company. The operations team, on the other hand, manages the status of areas such as restrooms, entrances, press rooms, or technical points. A single visual serves these different needs only to a limited extent.

An outdated plan exhausts operations before it impacts the visitor experience. Information desks more frequently answer "where is this company?" questions. When an exhibitor notices an incorrect stand assignment, the team investigates which version of the file is current. They separately update the plan on the marketing website, the file in the operations shared folder, and the field team's copy.

Version uncertainty also affects trust. When a visitor cannot find their target, they lose the time allocated in their schedule; the exhibitor's discoverability decreases. Since the temporary status of a service point cannot be incorporated into a PDF, an additional explanation burden falls on field personnel. The common cause of these costs is expecting a reference document to act like a real-time operational tool.

Practical transition: establish the dual model

Transitioning from PDF to an interactive experience doesn't have to change the entire workflow overnight. First, define the roles of Hall Plans and the Interactive Map.   4. Link stands to profiles: Match each stand with the relevant exhibitor profile; ensure search results lead to the correct card.
  5. Check the route diagram: Test the transitions to generate routes on the web with waypoint start, destination, and intermediate stops if necessary.
  6. Separate draft and live versions: While the team is editing, the visitor should only see the published version. Before publication, check stand search, layers, and route examples.
  7. Plan sharing: Prepare anonymous public links, website embedding, and filtered publication options based on the target audience according to the use case.

Instead of digitizing all details at the first event, you can start with the most sought-after stands, main corridors, and essential service points. In subsequent seasons, the scope can be expanded using templates and learnings.

How do static and interactive maps work together with QEMENT?

How is the success of the transition measured?

The number of PDF downloads alone does not indicate that the visitor found their goal. For operational transition, monitor behavioral and process indicators together:

  • Number of map feedback and stand correction requests, and their closure status
  • Stand or company searches made on the web map
  • Usage of created and shared waypoint routes
  • POI records updated as open, restricted, or closed
  • Trend of direction inquiries received by the information and operations team
  • Notifications due to old plan links or incorrect versions
  • Access to the map's embedded view on the website

Do not present planned analytical capabilities like heatmaps as current measurements. Create today's indicators from access, search, route, feedback, and operational records.

Frequently asked questions

Should PDF Hall Plans be removed?

No. In QEMENT’s dual model, static Hall Plans remain the official reference. The Interactive Map offers a separate layer for exploration, navigation, and on-site operations.

Should the existing drawing be redrawn?

Not always. The organizer can draw in the designer or start by importing CAD, DXF, and DWG files. After import, stand relationships, layers, and routes should still be checked.

Can visitors open the map without downloading an app?

The published map can be shared on the web via an anonymous public link or an embedded view on a website. Visitor and exhibitor web viewers are at the core of the current scope.

Does the map use the visitor’s device location?

The primary method within the current web scope is waypoint selection. Location service mode and advanced re-routing features are on the roadmap; they should not be considered live capabilities.
