Vision and roadmap note: The QEMENT trade fair-specific CRM module described in this article is planned; it is not a live and usable QEMENT feature today. The current QEMENT platform contains live data that can form the basis for CRM, such as visitor registration, entry, digital business cards, B2B meetings, favorites, and profile viewing. The planned CRM vision aims to combine these existing signals at the relationship, lead, activity, task, and sales funnel layers.
The real problem: The trade fair ends, connections remain in different lists.
During a trade fair, an exhibitor can meet hundreds of visitors. Some exchange digital business cards, some attend B2B meetings, some favorite profiles, or visit the booth. On the organizer's side, exhibitor and supplier relationships are scattered across application, request, communication, and financial records. Although these signals are valuable, without a common relationship timeline and follow-up flow, answering the question "Who was contacted, when, and in what context?" becomes difficult.
Transferring only the final lead list to a general-purpose CRM can also diminish the context of the trade fair. Whether the connection was made via a business card, a meeting, or an invitation; which business area the visitor is interested in, and their history across events remain in separate systems. Notes taken by booth staff may reach company officials late. The organizer's account manager, on the other hand, may not be able to see an exhibitor's interactions from previous trade fairs in one place.
Business impact: Transforming networking value into a trackable relationship.
Without a follow-up discipline, a high number of business cards or meetings cools down without turning into a business outcome. The exhibitor cannot prioritize the leads they collect; cannot assign tasks or track which lead is at what stage. The organizer also struggles to explain the networking value provided to the exhibitor with relationship outcomes during renewal discussions.
The business goal of the planned trade fair-specific CRM is not to copy trade fair data, but to transform existing contacts into a manageable relationship process. For the organizer, the aim is to present the history of the exhibitor, supplier, and visitor ecosystem; for the exhibitor, it is to present only their own lead scope in a structured follow-up area. This structure must be implemented with appropriate permissions and scope limits.
What is currently live?
QEMENT's live platform supports event definition, exhibitor application and profile management, visitor registration, badge-based entry, favorites, viewed items, visitor notes, two-way digital business card exchange via QR, and B2B meeting processes. On the B2B side, there are request, approval, rejection, cancellation, time change, calendar, conflict control, matching, and notification flows. Exhibitor reports and visitor reports help evaluate this event data.
Salesforce synchronization is among the existing integrations. However, the existence of this integration does not mean that a built-in CRM module within QEMENT is live today. QEMENT CRM is a planned roadmap module with a 360-degree relationship view, built-in lead pipeline, CRM tasks, and field CRM, and it is not live yet.
Practical tip: Establish data discipline before CRM implementation.
- Separate lead sources. Do not lump sources like digital business cards, B2B meetings, badge or QR scans, manual entries, and invitations under the same label. The source explains the context of the next contact.
- Determine follow-up ownership. Clarify who will follow up on each lead, when they will be contacted, and what results will be recorded, all before the fair.
- Establish qualification criteria. Use observable information such as business area alignment, meeting outcome, and explicit needs. Do not set performance targets based solely on the number of business cards.
- Tie permission boundaries to the source. Business card exchange and badge scanning should be conducted with visitor consent; the source of consent must be specified for manual entries. Mass communication should not be made through the platform without IYS permission.
- Keep cross-event identity clean. Reduce duplicate person and company records. Maintain consistency in key fields to correctly link the history of the same professional across different fairs.
- Standardize conversion definitions. Clearly define the entry and exit criteria for stages such as new, in contact, proposal, won, and lost.
How will the planned QEMENT CRM vision work?
All of the following capabilities are planned and are not live yet. The planned 360-degree account and contact view on the organizer side aims to display profiles, contacts, meetings, business cards, requests, communications, finance, and future file attachments in a common context. The activity timeline is envisioned to bring together business cards, meetings, emails, SMS, favorites, views, entries, requests, and manual notes.
The planned lead and opportunity pipeline aims to manage source-specific leads through stages, assign owners, and create tasks and reminders. Segmentation is targeted to generate dynamic lists from business area, profession, country, and behavioral data, and to respect permission status in marketing flows. Cross-event history will preserve the relationship context of returning attendees and visitors.
Exhibitor CRM is also planned with a separate data scope and is not live today. Exhibitors are envisioned to see only their own leads and manage leads from badge or QR scanning, digital business cards, B2B, and manual entry in a common inbox. Capabilities such as notes, tags, a simple pipeline, tasks, assignment to team members, and export are within the scope of the plan.
Organizer mobile field CRM and exhibitor mobile lead capture are also on the roadmap; these should not be confused with existing live mobile features. The planned scope includes field scenarios such as extracting fields from business card photos, visit logging, notes, tasks, and synchronization when connectivity is restored. AI-powered lead scoring and next action recommendations are also vision capabilities dependent on the planned AI infrastructure; these are not live yet.
How should measurable indicators be determined?
- Number of unique leads generated per source.
- Rate of creating follow-up tasks from digital business cards.
- Transition from B2B meeting to qualified lead.
- Time elapsed until the first follow-up action.
- Conversion and dwell time between lead stages
- Unassigned or overdue follow-up tasks
- Rate of duplicate contact and company records
- Number of returning relationships between events
- Distribution of records with missing consent status or opted out of communication
These indicators should be monitored with common definitions when the planned CRM is deployed. Today, however, live QEMENT business card, B2B, registration, entry, and interaction reports can provide a basis for evaluating pre-CRM data quality and resource allocation.
