Moving an AutoCAD drawing to the exhibition map: A practical guide

Drawing a trade fair plan from scratch takes time. Most organizers already have a hall drawing in AutoCAD format — from an architectural office, venue management, or last season's file. The question is: How do you transfer this drawing to a digital map, do you redraw it?

The goal is not to upload the file and be done; it's to connect it to operational data. Even if the transfer is successful, without exhibitor assignment, POIs, and publishing steps, the map remains incomplete for visitors.
Pre-import preparation
Not every CAD file transfers seamlessly. Uploading the source file without cleaning it means hours of corrections in the designer. A few checks before transfer will make the job easier:
- Layer cleanup: Hide or delete unnecessary layers (notes, dimension lines, old revisions) in the source file.
- Unit consistency: Is the file in millimeters or meters? Unit detection comes into play during import; consistency in the source remains critical.
- Stand boundaries: Are the stand polygons clear in the drawing, or are there only outer walls? Clear boundaries speed up the subsequent assignment step.
- Block and Xref density: Overly complex blocks may corrupt during conversion; prefer a simplified version.
The trade-off is clear: Preserving architectural detail enriches the drawing; unnecessary lines for a visitor map impair readability. An exhibition map is not an architectural deliverable. Visitors should see the stands, aisles, and service points.
Import steps
- In Map Management, create a venue template or open an existing map.
- In the Designer, using «Import», select the DXF or DWG file.
- Confirm units and scale; the drawing will be fitted to the grid.
- Verify stand polygons; edit missing or incorrect areas.
- Add exhibitor assignments and layers (electricity, water, press).
- Save as draft; check in the test viewer.
- Publish — only the published version is accessible to visitors.
The most frequently skipped step is draft review. Direct publishing pushes missing waypoints or incorrect stand boundaries live. At least one search, one route, and one POI view should not be published without testing.
About DWG files
The DWG format cannot be processed directly in the browser; the system converts it to DXF for import. Files containing complex 3D or custom blocks may require manual correction. This is not an error; it's a natural limitation of the CAD ecosystem. 3D furniture details should not be transferred to the exhibition map; a 2D hall plan is sufficient.
Choose between the 'full architectural package' from the Venue and last season's simplified plan. Generally, the simplified plan is faster and produces fewer errors. The architectural package is only necessary if the hall structure has fundamentally changed.
What to do after import?
The job isn't done when the drawing is on the canvas. Without an operational connection, the map is just a visual:
- Connect an exhibitor profile to each stand polygon.
- Mark POI points (entrance, restrooms, press, dining area).
- Define layers — which layers will the visitor see?
- Place wayfinding waypoints at critical intersections.
- Separate the publishing profile for public link or embed.
Failure scenario: CAD imported, stands remained empty, visitor found no results in search. Operations says 'we have a map'; the visitor says 'it doesn't work'. Both are right from their perspective; what's missing is the data connection.
When does it make sense to draw from scratch?
If the CAD file is very old, the venue structure has changed, or the stand layout is completely different, drawing from scratch using a template is sometimes faster. In QEMENT, fast drawing on a grid is possible with stand templates, snap, and undo. If the correction time after import exceeds the time to draw from scratch, it is rational to start from scratch.
Practical rule for decision: If the estimated cleaning and correction time exceeds two business days, consider a simple grid drawing suitable for the current season's layout. Last season's CAD creates an emotional attachment; it may not create operational speed.

Source file ownership and version discipline
The most expensive mistake in CAD import is uploading the wrong revision. The "final plan" from the venue might differ from the stand layout approved by exhibitor sales. Before import, it must be documented which file is the "master": file name, date, sender, which halls it covers. Otherwise, two teams will consider two different drawings "correct."
For revisions arriving mid-season, a delta approach can be preferred instead of re-importing the entire map: Changing stand polygons are updated manually, unchanged areas are preserved. Blind re-import can break previously linked profiles and POIs. In QEMENT, the distinction between publication versions makes it possible to test new imports in draft and preserve the old live version.
Practical check: After import, select 10 random stands from the list and search for them on the map; verify 10 POIs in visitor view; draw a route from a main entrance to a distant stand. These three tests can be done in 15 minutes; it's much cheaper than post-publication correction.
A common tension between the architectural office and operations is the request to "do not delete the dimension layer." On a fair map, dimension lines mislead visitors; for the technical team, they are a reference. The solution is to keep dimensions in a separate layer in the source CAD and hide them in the visitor publication. This preserves technical accuracy and keeps the visitor interface clean. If this distinction is not made, either the map becomes unreadable or a debate about lost dimensions arises in subsequent revisions.
Frequently asked questions
Should DXF or DWG be preferred?
Both can be used. DWG requires a conversion step. Clean DXF yields more predictable results in most scenarios.
Does the import automatically bring in stand numbers?
If numbers in the source file are in a consistent layer and readable format, the process becomes easier. Nevertheless, profile assignment must be verified separately.
Can last season's map be merged with the new CAD?
If the venue is the same, layers and POIs can be reused. If the stand layout has changed, polygons must be re-verified; blind copying is risky.
Does importing mean publishing?
No. Importing creates a draft. Visitors only see the published version.
