Emergency exit route planning: What the security team expects from the map

The exhibition safety plan includes an "emergency exit procedure." On paper. Not in the hands of a visitor in the middle of the hall. In an emergency, the question "Where is the nearest exit?" is one of the hardest to answer in a moment of panic. Audio announcements might not be heard; signs might not be visible due to smoke or crowds; personnel cannot be everywhere.
A digital map carries the safety plan into the visitor's pocket — beyond commercial exploration, as an operational safety tool. This is not to declare the map a "security system." The map is the visible layer of the plan; it does not replace drills, personnel, and physical exit infrastructure.
What does emergency exit mode do?
In QEMENT Interactive Map, the basic emergency exit route mode draws a route from the visitor's current location or a selected point to the nearest emergency exit. The difference from a normal exploration route must be clear: Only exit points, assembly areas, and first aid POIs are highlighted; commercial stand layers remain in the background or are hidden.
A cluttered stand map is useless in a moment of panic. Reducing information improves navigation quality. Therefore, the emergency exit view should be designed as a separate publication profile or mode; visitors should not be left to "adjust filters myself."
SOS public link
With multiple public publications, a special map link can be created for the security team: only emergency exit, assembly area, and first aid layers are visible. This link is readily available on the security team's mobile phones, can be embedded on the exhibition website, opens anonymously without requiring login, and is filtered independently from the main visitor map.
- It is included in the security brief as a single QR or short URL.
- The on-site team sees the same source; no outdated PDFs circulate on WhatsApp.
- When an exit is closed, the POI status is updated; the link remains the same.
- It does not get confused with the visitor exploration map; the purpose becomes clear.

To-dos during the planning phase
Emergency exit routes should be planned during the map design phase, not on the day of the event. An exit POI added on the last day might not generate a route due to missing waypoints.
- Mark all emergency exit doors as POIs.
- Define assembly points on the map.
- Place waypoints at critical intersections — for route calculation.
- Conduct a test route with the security team (pre-event).
- Add the SOS public link to the security brief.
- Test the closed exit scenario: Mark an exit as «closed» and verify the alternative route.
A common error during testing is that the assembly point is on the map but not included in the route destination. Guiding to the exit is not enough; the safe assembly point must also be visible.
With live POI status
When an exit is temporarily closed (e.g., for transport, technical malfunction), its POI status is marked as «closed». Route calculation then directs to an alternative exit. In a static plan, this update takes hours; on a digital map, seconds. This speed requires not only technology but also a field-operation protocol: Who closed it, who marked it, who verified it.
Failed scenario: The exit is physically closed, marked open on the map, and the route directs to that door. This increases the security risk of the digital tool. Therefore, POI update authority and the verification chain must be documented.
Honest boundaries
Full SOS/assembly and advanced reroute features may be on the roadmap for QEMENT. The current basic emergency exit mode is a starting point for most trade fair security scenarios — it operates with waypoint route logic, not beacon-based real-time location. Clearly communicating this limitation to the security team prevents false expectations.
The map also does not replace crowd management, public address systems, or fire detection. Contribution area: Visible route, current exit status, shared digital resources. Non-contribution area: Physical security infrastructure and responsibility for official procedures.
Measurable preparedness indicators

Common language with the security team
The map team says 'POI' and 'waypoint'; the security team says 'escape route' and 'assembly point'. Without a common glossary, the same point is defined in two different places. In the planning meeting, each emergency exit should have a single ID, a single name, and its corresponding representation on the map. Name inconsistency creates a contradiction between announcements and digital guidance.
The drill scenario can be kept simple: A route from a specific stand location to the nearest exit, then closing that exit and generating an alternative. Time is kept; broken waypoints are noted; the SOS link is opened on all shift supervisors' phones. This 20-minute drill is more valuable than the phrase «there is a plan».
On the day of the fair, a single communication line must be defined between security and operations. When an exit closes, both the physical barrier and the map POI are updated simultaneously.
